This manual describes how to create a planned visit in the Rhyzi platform (formerly Ident2be) for a visitor that is announced in advance. The visitor is provided with an identifier — for example a QR code (barcode), an RFID card or a virtual identifier — and can optionally be given a separate licence plate for parking access.

A planned visit is valid between a chosen start and end date/time, can span multiple days and can include multiple visitors.

Introduction

In Rhyzi, a visit is temporary access for an external person who comes to a location at the invitation of a member. A planned visit is created in advance — by the host themselves or by a front-desk operator — so that the visitor has access immediately upon arrival.

Who can create a planned visit?

  • Members can create a planned visit for themselves. Their own name is then automatically filled in as the member and cannot be changed.
  • Members with administrator rights (admin) can also create a planned visit for a colleague within the same company. In that case, the member field can be changed.

Licence plate alongside another identifier

A unique feature of a planned visit is that a visitor — in addition to the chosen identifier — can also be given a licence plate. This way the visitor can, for example:

  • drive through the parking barrier using licence plate recognition (ANPR);
  • and enter the building by scanning the QR code (barcode) at the entrance.

If the visitor arrives during the same visit with a different car than the one registered? Then the QR code can also be used at the parking barrier — provided that the parking is included in the selected access profile. This combination only applies to the saved planned visit; for a future visit, a new planned visit must be created.

Supported identification means

A planned visit can be linked to several types of identifier. Which ones are available depends on the hardware installed at your location:

  • RFIDCARD — physical RFID access badge; presented at a card reader
  • BARCODE — (printed or emailed) QR code/barcode for a scanner
  • PINONLY — access solely via a PIN code on a keypad
  • VIRTUALID — virtual identification via the Rhyzi app on a smartphone

In addition, a visitor can be given a licence plate that works in parallel with the identifier above.

Prerequisites

Before you begin, make sure you have:

  • A Rhyzi account with the right to create planned visits;
  • The member the visit is for — for yourself this is fixed; only admin members can choose a colleague;
  • The full name of the visitor (and preferably the email address for the invitation);
  • The date and time of the visit;
  • An access profile that fits the zones the visitor may use;
  • Optional: the visitor's licence plate and/or a photo for reception.

Step-by-step: create a planned visit

Step 1 – Open the "Visits" page

  1. Log in to the Rhyzi platform.
  2. In the left-hand menu, click Visitors. You now see the Visits overview.
  3. In the top-right corner, click the green + New Visit button and choose Planned Visit.

The form is divided into three sections:

  • Visit Info — when and for whom is the visit?
  • Visitors — who is visiting? You can add multiple visitors per visit.
  • Visitor access — which identifier and which zones?

Step 2 – Fill in the Visit Info

In this section you decide for whom and when the visit takes place.

  • Member — find the right person. Company and Member's email are filled in automatically. Are you creating this visit for yourself? Then your own name is fixed and cannot be changed. Do you have administrator rights? Then you can also choose a colleague within the same company.
  • Visit date — choose the start and end date of the visit. For a multi-day visit, select a date range.
  • Visit time — choose the start and end time (for example 12:00 – 15:30).
  • Access On days of the week — select the days on which the visit is valid within the date range (for example weekdays only).
  • Location — optional. This field is purely informational for reception; access is not granted based on this field, but is determined by the access profile in Step 4.

Step 3 – Fill in the Visitor Info

In this section you record who is visiting. Only Full name is required; the other fields are optional. You can add multiple visitors per visit using the + Add Visitor button at the top right of the Visitors section.

  • Full name — first and last name of the visitor (required)
  • Email — visitor's email address; used for the invitation email with QR code
  • Company — company or organisation the visitor belongs to
  • Phone Number — visitor's phone number
  • License plate — licence plate of the vehicle (see the box below)
  • Note — free text, for example the purpose of the visit
  • Photo — upload or take a photo of the visitor; useful for visual recognition at reception

Tip — Licence plate alongside another identifier: the License plate field works independently of the Identifier field in Visitor access. This way a visitor can have, for example, a BARCODE (QR code) as identifier for the scanner at the entrance, and a licence plate for the parking barrier. If the visitor arrives during the same visit with a different car than the registered one? Then the QR code can also be used at the parking barrier — provided the parking is included in the selected access profile.

Step 4 – Configure Visitor access

In this section you decide where the visitor may go and which identifier is used.

Choose an access profile

Choose an Access profile from the list — the profile determines which doors, barriers and zones the visitor may use.
  1. Click in the Access profile field.
  2. Select the access profile that fits this visit. Examples: Tech Campus | Visitor, Terra Park Gulpen | Waterfiets, Rhyzi Tower | Visitor.

Important: the access profile determines which zones can be reached by both the main identifier (such as the QR code) and the registered licence plate. Parking access therefore only works if the parking is included in this access profile.

Identifier and card code

Click in the Identifier field and choose the type of identifier you give to the visitor:

Then enter the Card code: the card number or identifier number. For an RFID card, this can also be read in by placing the card on the desktop reader (enrolment reader); for BARCODE, the code is generated automatically.

Step 5 – Save the visit

  1. Check all fields.
  2. Click the green Save button in the top-right corner.

The visit is saved and the visitor automatically receives an invitation email (provided the email address is filled in) with the QR code and visit details.

The planned visit appears in the Visits list with start and end date, time and the associated member.

Edit or cancel a planned visit

In the Visits overview, click the row of the visit to open the Edit Planned Visit screen.

  • Edit — change the details and click Save or Save and Close.
  • Resend Invitation — send the invitation email with QR code to the visitor again (useful if the visitor has lost the original email).
  • Cancel Visit — fully cancel the visit. The identifier stops working immediately and can be reused for a next visit.

Frequently asked questions

Can I plan a visit for a colleague?

Only if you have administrator rights. A regular member sees their own name automatically filled in the member field and cannot change it. An admin member can also choose a colleague within the same company.

Can a visitor have both a QR code and a licence plate?

Yes. The License plate field in Visitor info works independently of the Identifier field in Visitor access. The visitor can therefore drive through the parking barrier via licence plate recognition and use the QR code at the entrance. If the visitor arrives during the same visit with a different car? Then the QR code can also be used at the parking barrier — provided the parking is included in the selected access profile.

Does the licence plate link also apply to a future visit?

No. The link between the licence plate and the identifier only applies within the saved planned visit. For a future visit, a new planned visit must be created.

Can I add multiple visitors to one visit?

Yes. The + Add Visitor button at the top right of the Visitors section lets you add additional visitors. Each visitor has their own Visitor info and Visitor access.

What does the "Location" field do?

The Location field is purely informational and is shown at reception. Access is not granted based on Location; that is always determined by the chosen access profile.

Can I resend the invitation email?

Yes. Open the visit via the Visits overview and click Resend Invitation in the Edit Planned Visit screen. The visitor will receive the email with QR code and visit details again.

Summary

Following the steps above, you plan a visit in advance in Rhyzi. You choose the member, date and time, add one or more visitors and link each visitor to an access profile with an identifier (and optionally a licence plate for parking access). After saving, the visitor automatically receives an invitation email with the QR code; via Edit Planned Visit you can later edit, resend or cancel the visit.
