This manual describes how, as a user-admin (customer-admin), you create a new tenant in the Rhyzi platform under the multi-tenant module. A tenant is an organisation that is set up as a separate tenant with limited rights inside the Rhyzi platform.
The manual takes you through three blocks, always performed in this order:
- Create the tenant company — the tenant record on which all the tenant's members, cards and contracts will hang.
- Create the company-admin of the tenant — the first member of the tenant, who will later manage their own organisation.
- Create the contract — the agreement that defines which locations / parking spaces the tenant may use and within which period.

Who is this manual for?
- User-admin — the admin who sets up new tenants within their own Rhyzi environment.
What is out of scope of this manual?
What the company-admin of the tenant does afterwards (first login, creating their own members, issuing cards, granting access) is covered in two separate manuals:
- Login — short FAQ to help with logging in.
- Manual for the company-admin — describes the options and rights of the company-admin and refers to the specific manuals for actions such as creating new members.
When you hand the tenant over, mention that the company-admin can create users themselves, as long as it stays within the scope of the contract you set up in this manual.
Prerequisites
- You have a Rhyzi account with the user-admin role and FO-admin rights.
- You know which locations (sites, doors, parking spaces) the tenant may use and within which period.
- You have the tenant's details at hand: company name, contract details, contact person (the future company-admin) and email address.
Step 1 — Create the tenant company
The company is the top layer of the multi-tenant module: all the tenant's users (members) and contracts will be linked to this single company.
- Log in to Rhyzi with your user-admin account.
- In the left-hand menu, click Specials. The submenu expands.
- Click Companies.
Add a new company
- Click Add Company in the top-right corner.
- The Add new company form appears.
Fill in the company details
Fill in at least the required fields. You can always complete optional fields later from the company details page.

Save
- Check the entered details.
- Click Save in the top-right corner.
- The company appears in the Companies list.
Tip. In dropdowns (under Members, Contracts and other overviews) you only see the Company name. The Company code is used only on the back end / in administration. So pick a Company name that is immediately recognisable to the people who will later select the company.
Step 2 — Create the company-admin of the tenant
For each tenant, register at least one member who will later become company-admin on the contract. This person is the first user of the tenant and will be allowed to create new members for their own organisation within the contract.
Creating the member itself works the same as creating any other member in Rhyzi — the full procedure (all fields, options and explanations) is described in the Add Member manual. Follow that manual and pay attention to one point in the multi-tenant context:
- Company — select the company you just created in step 1 (for example ASML The Netherlands).

Step 3 — Create the contract
The contract ties the company, the admin and the granted locations together. The contract defines:
- The period during which the tenant may log in to Rhyzi (Valid Period).
- Who within the tenant has admin rights (Members with admin rights).
- Which locations / doors the tenant may grant to its members (Locations Access).
- Which parking areas and any limits the tenant gets (Parking Limits).
- In the left-hand menu, click Specials → Contracts.
- Click New Contract in the top-right corner.
Fill in the General info tab

Link the admin
- Click + Add Admin under Members with admin rights.
- An Add Admins window with a search field appears.
- Type (part of) the name, for example john. The matching member appears below.
- Tick the right person, for example John Maas (RH-00021).
- Click Save.
You now see the admin listed under Members with admin rights. Repeat for any additional admins.
- Click Next to proceed to Locations Access.
Tip. If you do not link an admin, you can still always create members yourself under the company in question. There is simply no delegated company-admin who can do this themselves.
Step 4 — Authorise locations
On the Locations Access tab you decide which doors, floors and groups in the current Rhyzi environment the tenant gets access to. By default all locations are set to Restricted (red status, green Grant button). When you click Grant, the status changes to Granted (green) and the button becomes Restrict (red).
How to use it
- Review the list and optionally filter using the search fields above Code, Description and Site.
- Click Grant in the action column to open up a location.
- Click Restrict to revoke previously granted access.
Working with groups (recommended)
In practice you preferably do not arrange access door-by-door but via groups. Activate Groups only or search for a group code (for example RHYZI-ALL or a building-specific group) to grant a logical whole in a single click.
Creating practical groups
Do you have a larger set of doors or locations that are often issued together (think of a whole floor, a wing, or "all common areas")? Then create a practical group for it once. With such a group:
- You give a tenant access to a logical whole in one go — convenient when onboarding new tenants.
- You keep the contract clear: one group line instead of dozens of individual doors.
- A change to the site (extra door on a floor, office laid out differently) does not require any per-contract change — the door is added to the group and all existing tenants who have that group immediately get the right result.
For each new tenant, check whether existing groups already cover the desired access. If not, and you would issue this combination more often, create a new practical group before continuing with this contract.
Recommendation. Use groups rather than individual doors wherever possible. It keeps contracts clean and, when the site changes (for instance an extra door on a floor), that door is automatically part of the existing group. All tenants holding that group get the change immediately.
Optional — Parking Limits
On the Parking Limits tab you limit, per parking area, how many parking spaces the tenant may use, or within which period. Only fill in what differs from the default rules.
Save the contract
- Check the granted locations and any parking settings.
- Click Save.
- You receive the confirmation "Contract added successfully". The contract now appears in the Contracts overview.
Ready for handover. The company-admin of the tenant can now log in to Rhyzi using the email address entered in step 2 — within the contract period, of course. From that point on, the tenant manages their own members, cards and access within the scope of the contract. See below for the follow-up manuals.
Next steps for the tenant
What the tenant does themselves after the contract has been created is out of scope of this manual. Refer the company-admin to the two separate manuals listed below.
What the company-admin can do next
The company-admin you created in step 2 and added as admin on the contract in step 3 can, within the rights of the contract:
- Create members for their own organisation.
- Assign the appropriate cards / identifiers to those members.
- Grant per-member access — only to the locations and groups you released in step 4 on the contract.
Important: a company-admin can never hand out more rights than you have set in the contract. If the tenant later needs additional locations, you adjust the contract via the Locations Access tab.
Follow-up manuals
Once the tenant goes live, two separate manuals are relevant — they are independent of this document:
- Login — how the company-admin / member enters the Rhyzi platform for the first time.
- Manual for the company-admin — how the company-admin manages their own members, issues cards and grants access within the contract scope.
Handover tip. Send the company-admin a short email with (1) confirmation that the account has been created, (2) the validity period of the contract, and (3) a reference to the manuals above as soon as they are available.
Frequently asked questions
The company-admin cannot log in — what now?
Check whether the contract is already active (Valid Period) and whether the company-admin's Member record is set to Active. Outside the contract period or when Status is Inactive, login to the platform is blocked; previously issued cards continue to work with their own validity.
Can I add extra locations to the contract later?
Yes. Open the contract and adjust the Locations Access tab. Changes become active for the tenant and their members immediately.
Can I appoint multiple admins for a single tenant?
Yes. Open the contract and use Add Admin on the General info tab again to give extra members of the company admin rights. Useful for splitting work or for a backup.
What happens at the end of the contract?
On the end date (To field), Rhyzi automatically blocks login for members of the tenant. Access stored on a physical card remains in place until the validity of that card expires — so it is not automatically tied to the contract period.
What is the difference between an individual location and a group?
You release an individual location per door / floor / parking space. A group is a predefined set of locations (for example a whole floor or "all common areas"). Use groups by preference — they are clearer and require less maintenance when the site layout changes.
Checklist
Use this short checklist to fully deliver a new tenant:
- Company created under Companies (Company code + Company name).
- Company-admin created via the Add Member manual and linked to the company.
- Contract created under Contracts with the correct Valid Period and Contract Number.
- Company-admin added under Members with admin rights.
- Locations / groups granted on the Locations Access tab (preferably via groups).
- Any Parking Limits configured.
- Contract saved — "Contract added successfully" confirmation seen.
- Company-admin informed about the contract period and referred to the follow-up manuals (Login + Company-admin).
