View and edit visit details
On the Edit Planned Visit page (planned visits) or Edit Visit (adhoc), you view all details of an existing visit and adjust them as needed. You open this page from the Visitors overview by clicking the row of the visit.
The page consists of the same three sections as when creating a visit:
- Visit Info — when and for whom is the visit?
- Visitors — who is visiting? One or multiple visitors per visit.
- Visitor access — which identifier and which zones?
A detailed description of every field is available on the Add Planned Visit and Add Adhoc Visit pages. Below we describe what is specific to editing an existing visit.
Action buttons
In the top-right corner of the page are five buttons to manage the visit.

| Cancel Visit | Fully cancel the visit. The linked identifier (RFID, barcode, licence plate, …) stops working immediately and can be reused for a next visit. The visit remains visible in the overview with the status Cancelled. |
| Resend Invitation | Resend the invitation email with QR code and visit details to the visitor's email address. Useful when the visitor has lost the original email or when the wrong email address was originally entered (and corrected afterwards). |
| Cancel | Leave the page without saving your changes. You return to the Visitors overview. |
| Save | Save changes and stay on the page. Useful when you want to make several adjustments in a row. |
| Save and Close | Save changes and return to the Visitors overview. |
Good to know: the Save and Save and Close buttons only become active once something has actually been changed on the page. While nothing has changed, they remain greyed out / disabled.
Edit Visit Info
In the Visit Info section you can adjust the general details of the visit:
- Member — the host of the visit. With administrator rights this field can still be changed; for regular members the field is locked.
- Visit date — extend the visit or shorten it by changing the start and/or end date.
- Visit time — adjust the start and end time.
- Access On days of the week — within the date range, choose on which days the visit is valid (for example only Monday, Tuesday, Wednesday).
- Location — informational location for reception; does not control access.
Manage visitors
In the Visitors section you find every visitor linked to this visit. Each visitor has their own tab at the top; click a tab to view or edit that visitor's details.
- Add a visitor — click + Add Visitor to add another visitor to this visit. The new visitor gets their own tab and fields.
- Remove a visitor — click the × icon next to the name in the tab. That visitor and their identifier are removed from the visit.
- Switch between visitors — click a tab to edit that visitor's details.
For each visitor you can edit all fields under Visitor info (name, email, company, phone number, licence plate, note, photo) and Visitor access (access profile, identifier, card code).
Frequently asked questions
What is the difference between "Cancel" and "Cancel Visit"?
- Cancel leaves the page without saving your changes — the visit remains active.
- Cancel Visit fully cancels the visit itself — the identifier stops working immediately and the visit gets the status Cancelled.
When is the invitation email (re)sent?
By default every visitor receives an invitation email automatically when a planned visit is created (provided an email address is entered). With Resend Invitation you send this email again — for example when the visitor did not receive the original email.
Can I edit a visit for another member?
Only members with administrator rights can edit visits of colleagues within the same company. Regular members can only edit their own visits.
Does "Cancel Visit" also work for an adhoc visit?
Yes, adhoc visits can be cancelled via this button as well. The identifier stops working immediately and can be reused for a next visit.
What happens to the identifier after cancelling?
After Cancel Visit, the linked identifier (RFID card, barcode, licence plate, …) is immediately detached from the visit. You can reuse the same identifier directly for a new visit.
Summary
The Edit Planned Visit / Edit Visit page lets you view and modify every detail of an existing visit: date, time, member, visitors, identifier and access profile. The five action buttons in the top right (Cancel Visit, Resend Invitation, Cancel, Save, Save and Close) cover all management options — from a small text change to fully cancelling the visit.
