Visitors overview

The Visitors page is the central workspace for everyone who receives or manages visitors in Rhyzi. You see all visits in one place, can create new visits, filter the data and — depending on your rights — open a gate or assign an access card directly. The page is intended for receptionists, front-desk operators, administrators and members who want to follow up on their own visits.

Page elements

Visitor list

The list shows an overview of all visits within the active filters. For each visit you see:

  • Name — name of the visitor
  • Date — start and end date of the visit
  • Time — start and end time
  • Member — the host the visit belongs to
  • Card Number — number of the identifier (RFID, barcode, licence plate, …)
  • Status — current status of the visit (see at the bottom of this page)
  • Actions — quick actions such as assigning a card
  • Gates — button to open the gate manually for the visitor

Search

The search bar at the top lets you quickly find a visitor by name or licence plate. The list is filtered as you type, so you do not have to scroll through every page.

Filters

Next to the search bar are filters that further refine the list:

  • Date filter — choose a specific date, a date range or Today to see only today's visits.
  • Status filter — show only visits with a specific status (Registered, Arrived, Checked in, Checked out, Left or Cancelled).
  • Visitor Name filter — select one or more visitors from a dropdown.
The Today filter limits the overview to today's visits.

Gate control

Behind every visit, the Gates column contains an Open button to manually open the corresponding gate for the visitor. This is useful when a visitor reports at the desk and you want to grant access quickly without waiting for licence plate recognition or a QR code scan.

Open a gate manually with the Open button on the visit row.

In the top-right corner of the page, Parking Slots shows the current number of available parking spaces, so you can quickly see whether there is still room for additional vehicles.

Assign card

The Assign button in the Actions column lets you assign an identifier to a visit that does not yet have one linked. This is useful for walk-ins that you register first and only later provide with a card, barcode or licence plate.

Pagination

The pagination bar at the bottom of the list lets you browse multiple pages of visits when there are more entries than fit on one page.

Add a new visit

In the top-right corner is the green + New Visit button to create a new visit. You can choose between:

  • Planned Visit — a visit that is announced in advance with a start and end date/time. See Add Planned Visit.
  • Adhoc Visit — a visitor that is at the desk without prior registration. See Add Adhoc Visit.

Visit statuses

During a visit, it goes through a number of statuses. You can change the status manually via the Status column in the overview; depending on the configuration the status is also updated automatically when an identifier (RFID card, licence plate, barcode, …) is used.

Status Meaning
Registered The visit has been created. The visitor is expected but has not yet arrived.
Arrived The visitor has reported at the desk.
Checked in The visitor is inside and the identifier is active.
Checked out The visitor has checked out at the desk and the visit has been completed.
Left The visit has been fully completed; the identifier no longer works and can be reused for a next visitor.
Cancelled The visit was cancelled before it started; the identifier no longer works and can be reused.

Frequently asked questions

Why don't I see all visits?

By default the date filter is set to Today. Visits on other days only appear once you change the date filter or click All.

Can I edit a visit from this overview?

Yes. Click the row of the visit to open the Edit Planned Visit screen (planned visits) or Edit Visit (adhoc). There you can change details, resend the invitation or cancel the visit.

What does "Open Gate" at the top of the page do?

The Open Gate button in the top-right corner (next to + New Visit) opens a gate manually — for example for delivery drivers or visitors without a registered visit. Which gate is opened depends on the configuration of your location.

Summary
